If you use QBO, you’ve likely stumbled across the Undeposited Funds QuickBooks Online feature and if you’re like many business owners, it might be causing you a bit of a headache. Let's break down exactly what it is and how to use it correctly.

Undeposited Funds = Your Pocket


One of the easiest ways to understand Undeposited Funds in QuickBooks Online is to think of it as your pocket.


Imagine it's Friday and a landlord collects rent checks from several tenants. The tenants no longer owe the money, but the landlord hasn't gone to the bank yet. The cash is received, but it's still sitting in his pocket.


That's exactly what Undeposited Funds represents: money you've received but haven't deposited into the bank yet.


QuickBooks uses Undeposited Funds so multiple payments can be grouped into a single bank deposit. This allows your QuickBooks deposit to match what actually appears on your bank statement.


Problems occur when payments are deposited twice or left sitting in Undeposited Funds for long periods. The result can be duplicate income, unmatched deposits, and difficult bank reconciliations.


The goal is simple:

Receive Payment → Undeposited Funds → Bank Deposit
